Advanced Bulk Contact Upload
Overview
Advanced Bulk Contact Upload lets you import contacts from a CSV file without manually adding country codes to phone numbers. The system applies a phone number format rule during upload, automatically prefixing the correct country code based on the rule you configure.
This feature also lets you map uploaded data to custom fields, assign tags, and track upload progress through a dedicated upload history log.
Before You Begin
Have your contact data ready in a CSV file.
The file size must not exceed 10 MB.
Unlike the standard Bulk Contact Upload, you do not need to add country codes to phone numbers manually. Country codes are applied automatically based on the format rule you set.
Accessing Advanced Bulk Contact Upload
Click the Contacts icon in the sidebar.
Click the Contacts tab to view your customer database.
Click Add Customer.
Click Advanced Bulk Upload to open the upload configuration screen.
Step 1: Upload Your CSV File
Drag and drop your CSV file into the upload area (maximum file size: 10 MB).
Once uploaded, the system displays the number of contacts found in the sheet. Use this to confirm your file was read correctly before proceeding.
Note: Tags are automatically created using the current date and time of the upload. If you want to organize contacts differently, you can assign custom tags instead of relying on the auto-generated tag.
Step 2: Configure Phone Number Format Rules
Advanced Bulk Contact Upload automatically prefixes country codes to phone numbers based on the rule you select. This removes the need to format numbers manually before upload.
Select the Prefix Country Code dropdown.
Choose the country code that matches your contact data.

Make sure the prefix you select matches the actual format of the phone numbers in your file. An incorrect prefix selection may result in incorrectly formatted numbers.
Step 3: Map Fields (Target Property)
The Target Property section displays all fields available in your Field Collection. Use this section to map columns from your uploaded file to the correct fields in OwnChat.
Mapping Options
Map from file: Match a column in your CSV to a target field.
Fixed Value: Use this if you want the same value applied to all contacts for a specific field.
Click Fixed Value.
Enter the value you want applied to all contacts.
Allow Broadcast Field
Select Allow Broadcast from the field dropdown.
Toggle the switch to enable mapping for this field.
This determines whether the uploaded contacts will be eligible to receive broadcasts.
Step 4: Start the Upload
Review your field mappings and phone number format rule.
Click Start Upload.
Contacts will begin uploading to the system based on your configuration.
Viewing Upload History
You can track the status and results of any upload through the Upload History log.
Click the Settings icon in Contacts.
Click Upload History.
Click the Refresh icon to load the latest upload records.
What You Can View in Upload History
Created contacts: Number of contacts successfully added.
Duplicate contacts: Number of contacts identified as duplicates.
Failed contacts: Number of contacts that failed to upload.
Uploaded by: The user who performed the upload.
Status: Indicates whether the upload is Running or Finished.
While an upload is in progress, the status will show as Running. Click the Refresh icon again to check for updates. Once complete, the status changes to Finished.
If there are no errors, the Uploaded Rows section will not display any error messages.
Upload Record Actions
Click the action menu next to an upload record to access the following options:
Edit Mapping: Modify the field mapping used for that upload.
Download Report: If any contacts failed to upload, download a report listing the failures. The report is sent to your OwnChat account using the associated upload ID.
Click the back arrow to return to the previous screen.
Managing Tags After Upload
Click the Contacts tab.
Click the Settings icon.
Click Tags.
Any tags applied during the upload β whether auto-generated or custom β can be viewed and managed from this section.
